Calendar sync is step two of the AI website booking assistant. Get the free AI Website Booking Assistant kit to build the full system.

The most common HighLevel calendar complaint goes like this: you have a dentist appointment in Google Calendar, but HighLevel still shows that hour as open and someone books it. Almost every case comes down to one of six causes, and all six take a few minutes to fix once you know where to look. This guide covers how the connection works, how to set it up correctly, and the checklist to run when busy times still show as available.

Steps follow HighLevel's help center as of October 2026. If a label differs in your account, go by your screen.

The two settings that matter: linked and conflict calendars

HighLevel separates two jobs that people assume are one:

  • Linked Calendar: the one external calendar HighLevel syncs with. It brings your real busy times in and, depending on your sync settings, writes HighLevel bookings back out. By default it also acts as a conflict calendar.
  • Conflict Calendars: calendars HighLevel only reads from. Their busy events block matching slots in HighLevel. They never receive bookings.

So if you have a work calendar and a personal calendar, a common setup is: work calendar as the linked calendar, personal calendar added as a conflict calendar. Your bookings land in the work calendar, and your personal appointments still block the slot.

Setting it up correctly

1. Connect Google

Go to Settings, Calendars and open the Connections tab. Under Connected Calendars, click Add New, choose Google, sign in and approve the permissions. Grant write access if you want HighLevel bookings to appear in Google. Your email should then show with the Google icon.

2. Choose the linked calendar

In Calendar Configuration, under Linked Calendar, click Add, pick the calendar and save. Under Advanced Settings, choose Default Sync (One Way Sync) or Two-Way Sync. Two-way means changes made in Google flow back into HighLevel too.

3. Add conflict calendars

Under Conflict Calendars, click Edit on each calendar that should block time, turn on Use as Conflict Calendar, and save. You can add several.

4. Match time zones

Set the same time zone in your Google Calendar and your HighLevel profile. Mismatched time zones are the quietest cause of "wrong" availability.

Busy times still showing as open? Check these six things

  1. No linked calendar, or sync is off. Confirm a linked calendar is selected and that Sync Events is on.
  2. The calendar is not set as a conflict calendar. Every calendar that should block time needs Use as Conflict Calendar turned on.
  3. The event is marked Free. Only events marked Busy block time. All-day events and some invitations default to Free in Google; open the event and set it to Busy.
  4. The connection broke. A red banner or red outline on the connection means the authorization expired or was revoked. Click Reconnect.
  5. Time zones do not match between Google and your HighLevel profile.
  6. Missing write access. Without it you cannot select the calendar as a linked calendar. Reconnect and approve the full permissions.

Test it in two minutes

Create a test event in Google Calendar tomorrow at 2pm, marked Busy. Then open your HighLevel booking page in a private browser window and look at tomorrow. If 2pm is gone, sync works. If it still shows, go back through the checklist, starting with numbers 3 and 2. Delete the test event afterwards.

Teams

Each team member connects their own Google account under their own login, because HighLevel needs each person's permission to read their calendar. If one person's availability is wrong while everyone else's is fine, check that person's connection first.

Why this matters for AI booking

An AI booking assistant offers whatever HighLevel says is available. If sync is broken, the bot books you into conflicts with complete confidence. Fix sync before turning on any automated booking. It is step two of Drop #01, the AI website booking assistant for exactly this reason.

Questions

Why does HighLevel ignore my all-day events?

All-day events are often marked Free in Google Calendar, and only Busy events block time. Change the event to Busy.

Do I need two-way sync?

Only if you want edits made in Google to update HighLevel appointments. One-way sync is simpler and enough for most people.

It worked yesterday and stopped today. Why?

Usually the Google authorization expired or a password changed. Look for the red banner on the connection and click Reconnect.
