Coming to this Drop: the ready-to-import snapshot and a video for every step.

Most small business websites have a chat bubble that either goes nowhere or asks visitors to leave a message nobody answers for a day. This Drop replaces it with an assistant that answers questions from your own information, figures out whether the visitor is a fit, and books them into a real open slot on your calendar while they are still on the page.

It is built entirely in HighLevel: a calendar, a Conversation AI agent and a Live chat widget. It needs no phone number and no text-message registration, so you can build it on day one of a trial.

How it works

Visitor opens the chat on your website
  -> Conversation AI greets them
-> answers questions from your knowledge base
  -> collects name and email
-> offers open times from your calendar
-> books it: appointment lands in HighLevel and Google Calendar
-> anything it cannot handle: hands off to you

Three rules make it work: the bot has one job (book qualified people), one source of truth (your knowledge base, never its own guesses) and a clear exit for anything it should not handle. Most bots that annoy people break the third rule.

What you need before you start

  • A HighLevel sub-account with Conversation AI available. AI messages are usage-billed, so check the pricing in your account.
  • One booking calendar with your real hours, time zone and appointment length.
  • Google Calendar connected, so the bot never offers a time you are already busy. Google Calendar sync setup guide.
  • Access to your website, to paste the chat widget code.
  • About an hour, plus 30 minutes of testing.

The build, in seven steps

1. Set up the booking calendar

Create one calendar for the appointment the bot will book, for example a 15-minute intro call. Set your availability, time zone and a buffer between appointments. One calendar first; routing between several can come later.

2. Connect Google Calendar

Under Settings, Calendars, Connections, connect Google and set it as the linked calendar with conflict checking on. This is the step people skip, and it is the one that causes double bookings. The calendar sync guide covers it, including the six reasons busy times still show as open.

3. Create the Conversation AI agent

In AI Agents, Conversation AI, click Create Agent, choose Prompt Based Agent, then Start from Scratch. Give it a name and fill in the Business Name field. New trial accounts also come with a default agent called AI Front Desk Assistant that is switched on for every channel; turn its channels off on its Deploy tab so two bots never answer the same chat.

4. Write the prompt and knowledge base

Replace the template in the agent's prompt editor with the booking prompt from the kit. It tells the bot to collect first name and email itself, which is how HighLevel recommends collecting name, email and phone. Then add a knowledge base with the 12 starter questions answered in your own words, and connect it under Knowledge Base Triggers. The Conversation AI prompts guide explains every rule in the prompt and why it is there.

5. Add the booking and hand-off actions

Under Actions, click Setup Your Actions and add Appointment Booking: choose Single calendar and pick your booking calendar. Leave "only send the booking link" off so the bot books inside the chat. Then add Human Handover with Human Requested and Lack of information turned on, assigned to you, so anyone who wants a person gets one.

6. Create the Live chat widget and deploy

In Sites, Chat Widget, click New and choose Live chat. In the Chat window tab, set the title and welcome message. The default contact form asks for name and phone, both required: swap phone for email, and change the SMS wording in the consent notice to email, since this bot never texts. If Get code is greyed out, turn off agency branding or give it a URL. Then copy the widget code. Back in the agent, open the Deploy tab, switch off every channel except Live chat, and point it at your new widget. Paste the code into your website.

7. Test, then go live in stages

Set the agent's Mode to Suggestive, where it drafts replies and you approve them, and add a short wait time under Timing & Pacing. Run the 12-message test script from the kit in the Test your agent panel, fix the prompt or knowledge base wherever it slips, and switch to Auto-Pilot only after a full day with no corrections. After changing Mode, click Save and check the Agents List shows the new mode; it can quietly stay on Off. Put the widget on one page first, then sitewide.

What to expect

Honestly: it depends on your traffic and your offer. The assistant does not create demand; it stops you losing the visitors who were ready to talk but would not fill in a form or wait for an email. Watch two numbers for the first month: how many chats turn into bookings, and how many conversations needed you to step in.

Questions

Does this need a phone number or A2P registration?

No. It runs on your website's chat widget. Texting is Drop #02.

Will the bot make things up?

Less, if you follow the prompt's rules: it answers only from your knowledge base, never invents prices or availability, and hands anything else to you. Test it with the kit's script before going live, and read every conversation for the first few days.

Can it book into more than one calendar?

Yes, HighLevel supports multiple calendars and services routing for prompt-based agents. Start with one; add routing once the basics work.
